Job Description

You are responsible for ensuring that all proofreading/QC/sub-editing & submission document uploads are performed to the highest standards. You live and breathe all things editorial, inspiring others to do so, setting and driving up DDB standards.

You ensure agency outputs remain error-free in terms of grammar, spelling, punctuation and style. And, that all work complies with client rules and relevant codes of practice. You create and champion client brand and house style guidelines, making sure editorial consistency is maintained across all healthcare communication materials. You ensure claims are accurately linked and data is correct for VEEVA and FUSE reference uploads, following company and brand SOP.

You lead a team of 2-4 talented medical editors/proofreaders/submission specialists, and ensure they receive the guidance, direction, and support they need to realise their full potential. And as you are one of the last people to see materials before they are sent to the client you and your team are the critical life-savers for the agency, being able to spot any remaining proofing, QC and data errors.

You proactively provide training on DDB Remedy editorial processes and procedures for new starters and those that need it.

You work closely with the operations team, scientific director team, copy/writing leads, client partners, project managers, as well as navigating Workfront, scheduling work for the editorial team via the virtual bench. You participate in key weekly resource calls and quarterly roadmap meetings plus interrogate quarterly scopes of work (SOWs) to ensure sufficient and appropriate editorial talent is in place to support the business needs (both perm and freelance).

Position Requirements

  • Has strong time management skills, prioritising and delegating tasks efficiently within the editorial team
  • Proactively manages the day-to-day workload and SOW(s) for the editorial team with the copy leadership team, operations team, project managers and key client partners
  • Has a high degree of accuracy and reliability with everything they do, empowering their team to do the same
  • Completes timesheets on time each week

  • Develops and maintains strong working relationships with agency counterparts; has earned their trust and respect
  • Takes an active role in creating an inclusive and inspiring environment

Knowledge and Skills

  • Possesses excellent proofreading, QC, sub-editing, VEEVA and FUSE reference uploading skills
  • Develops and upholds, systems and company processes, particularly those relating to editorial
  • Possesses line management skills and capable of developing talents of the editorial team
  • Proactively trains new starters and those that need it on editorial processes and procedures
  • Proactively mentors interns, associate writers and proofreaders on their editorial skills
  • Good understanding of relevant UK and international codes of practice (e.g., ABPI)
  • Good understanding of digital and print communications materials (e.g., eDAs, leavepieces, adverts, internal training materials, objection handlers)
  • Excellent understanding of brands’ editorial styles
  • Motivated to always continue learning and sharing knowledge
  • Follows company SOP, aiming to ensure all work reviews are carried out on Workfront
  • Keeps CPD record up-to-date

  • Maintains a high profile within the agency for their editorial knowledge and expertise
  • Takes ownership of the editorial team and responsibility for their output and behaviour
  • Proactively manages and motivates the editorial team, in different time zones, effectively and empathetically

  • Able to positively challenge the status quo to improve the way we work or the quality of our work, making sure the editorial SOP evolves to meet changing business needs

Qualifications and Skills

Essential

  • Minimum 5 years’ experience in a healthcare communications agency or publishing environment in an editorial role
  • Science graduate or equivalent
  • Excellent attention to detail
  • Excellent proofreading, QC and sub-editing skills
  • Excellent VEEVA skills and knowledge for reference uploads
  • Strong communication (verbal and written) and collaboration skills
  • Excellent time management and organisational skills
  • Able to give and receive feedback in a constructive manner
  • Line management experience of a team of 2-4 people
  • Proactive people person

Desirable

  • Excellent FUSE skills and knowledge for reference uploads
  • Excellent understanding of relevant UK and International codes of practice  (e.g., ABPI)
  • Mentoring experience
  • Confident presenter
  • Strong knowledge of Microsoft Office Suite
  • Strong knowledge of Workfront/equivalent software
